Maniana (“we”, “us”, the “Service”) provides an AI-assisted productivity workspace that lets the authenticated user connect their own mailboxes and other accounts for triage and reply workflows. This page describes what we collect, how we use it, and how to control it.

1. Who we are

Maniana is operated from the web application hosted at https://app.maniana.ai. For any privacy request, contact us at support@maniana.ai.

2. Data we collect

  • Account data — email, name, authentication state.
  • App content you create — projects, tasks, drafts, settings.
  • Connected-account data — when you connect a Google account, we fetch your Gmail messages and the email address of that mailbox only for use inside your session (see § 4).
  • Usage telemetry — basic logs for debugging and abuse prevention; no third-party ad network tracking.

3. How we use it

  • Deliver and maintain the Service you asked for.
  • Run AI triage, drafting, and classification on the content you connect.
  • Send replies on your behalf only when you or a rule you configured approved it.
  • Prevent abuse, investigate incidents, comply with law.

We do not sell, rent, or share your data with advertisers. We do not use your Gmail data for advertising.

4. Use of information received from Google APIs

Maniana's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, Maniana:

  • uses Gmail data only to provide user-facing features the user explicitly requested (reading their inbox inside our Frontdesk / Support views, AI triage, and sending replies on their behalf);
  • does not transfer Gmail data to others except as necessary to provide or improve these user-facing features, to comply with applicable law, or as part of a merger or acquisition with user notice;
  • does not use Gmail data for serving advertisements;
  • does not allow humans to read Gmail data except (a) with the user's specific explicit consent for specific messages, (b) when necessary for security (e.g. investigating abuse), (c) to comply with applicable law, or (d) for internal operations where the data has been aggregated and anonymized.

4.1 What Google user data we access

  • The authenticated user's Gmail messages, threads, and attachments' metadata (via gmail.users.threads.list, gmail.users.messages.list, gmail.users.messages.get).
  • The email address of the connected Google account (via userinfo.email) to label which mailbox is assigned to which role inside the app.
  • Scoped send capability (via gmail.users.messages.send) used only when the user or a rule they configured approved a reply.

4.2 How we store it

  • Messages are cached server-side, encrypted at rest (AES-256-GCM), in our MongoDB database.
  • OAuth refresh tokens are encrypted with the same scheme. Keys are held only on the backend service and never exposed to the client.
  • TLS is used for all transport.

4.3 Who can access it

  • The owning user via their authenticated session inside Maniana.
  • A tightly scoped on-call engineer when required for incident response, under the Limited Use carve-outs listed above.

4.4 Retention & deletion

Gmail data is retained only while the account stays connected. You can disconnect any time from Settings → Connected accounts. Disconnecting revokes our OAuth token and purges cached messages within 24 hours. On full account deletion we remove all connected-account data and backups are rotated out within 30 days.

5. Data retention (non-Gmail)

Account and app content you create are retained while your account exists. Email support@maniana.ai to request an export or deletion.

6. Cookies

We use first-party cookies for login / session state. No third-party advertising cookies are set by Maniana.

7. Children

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction). Do not create an account if you are under that age.

8. Changes

We may update this policy; the “Last updated” date at the top reflects the latest version. Material changes will be announced in-app.
